Executive Summary
OutfIT provides essential IT services that keep small businesses running — managed support, cybersecurity, AI training, and custom development. But like many growing MSPs, the work behind the scenes still relies on manual processes: onboarding new clients by hand, triaging tickets without automation, and spending hours on admin tasks that should run themselves.
Rebar is proposing a suite of custom AI tools designed specifically for OutfIT:
An AI-powered client onboarding system that assesses IT infrastructure and generates custom service plans
A smart ticketing system with AI triage that routes issues to the right tech and suggests KB solutions
An automated content pipeline that keeps the Compass blog active with SEO-optimized posts
A client health dashboard with real-time IT health scores and proactive recommendations
A workflow automation engine that handles onboarding, audits, reporting, and other repetitive tasks
These aren't off-the-shelf tools rebranded. Everything is built around how OutfIT actually operates — so your team can scale without adding headcount.
Part 1: Current Website Audit
We audited outfit.is across accessibility, SEO, and performance to identify concrete opportunities for improvement.
Accessibility & Compliance Gaps
We ran an automated accessibility and compliance audit on outfit.is. The site is built on Wix, which provides some baseline accessibility, but there are gaps that could expose OutfIT to legal risk and hurt user experience.
Key Findings
Missing alt text on images — Logo says "Pink Poppy Flowers" (Wix template default). Stock images use photographer names instead of descriptions.
Color contrast issues — Several text/background color combinations don't meet WCAG 2.1 AA minimum contrast ratios (4.5:1 for normal text).
No cookie consent banner — The site loads tracking cookies without user consent, which is a GDPR compliance gap for any EU visitors.
Missing heading on Contact page — The /contact page has no H1 tag, which hurts both accessibility (screen readers) and SEO.
Heavy JavaScript payload — Wix delivers 1.2-1.3 MB of HTML/JS per page. This impacts users on slower connections and assistive technologies.
A migration to a custom-built platform would resolve the majority of these accessibility issues while dramatically improving performance.
SEO & Discoverability Opportunities
Our SEO audit revealed significant opportunities to improve OutfIT's search visibility. The current site scores 42/100 overall — well below the competitive threshold for local IT services.
Critical Gaps
No meta descriptions — All 3 static pages (Home, Compass, Contact) are missing meta descriptions. Google is auto-generating snippets, likely with poor click-through rates.
Homepage title is "Home | OutfIT" — Contains zero keywords. Should target "Small Business IT Services" or "Managed IT Support in Denver."
Only 3 indexable pages — No service-specific landing pages for managed IT, cybersecurity, AI training, or custom development. This is the single biggest SEO gap.
Zero geographic targeting — "Englewood," "Denver," and "Colorado" only appear in the footer address. No content targets local search intent.
No internal linking strategy — Homepage doesn't link to blog posts. Blog posts don't link to services (because those pages don't exist). No breadcrumbs anywhere.
Quick Wins
Add meta descriptions to all pages (high impact, 30 min)
Rewrite homepage title to include primary keywords (high impact, 5 min)
Fix logo alt text from "Pink Poppy Flowers" to actual description (medium impact, 2 min)
Fix copyright year from 2035 to 2026 (credibility fix, 1 min)
Create 4-5 dedicated service pages — this alone could 3-5x the site's indexable surface area
The Automated Content Pipeline (Phase 2) directly addresses content gaps by generating SEO-optimized blog posts targeting the keywords OutfIT is currently invisible for.
Part 2: AI Integration Opportunities
Custom AI-powered tools to transform OutfIT's operations, built around how your team actually works.
The Problem We're Solving
Right now, OutfIT's operations involve:
Manual client onboarding — discovery calls, spreadsheets, and back-and-forth emails to assess a new client's IT environment
Reactive support — clients call when something breaks, and tickets get triaged by hand without consistent prioritization
Blog content created manually — the Compass blog needs regular posts to drive SEO and establish authority, but writing takes hours
No unified client visibility — there's no single place to see a client's IT health, security status, and upcoming needs
Repetitive admin tasks — employee onboarding, Google Workspace setup, security audits, and monthly reports done the same way every time
These processes worked when OutfIT was smaller. But they don't scale. Every hour spent on manual admin is an hour not spent serving clients or closing new business.
The Solution: AI-Powered Operations
We're building a custom AI operations layer for OutfIT — purpose-built tools that plug into your existing workflows and make them faster, smarter, and scalable.
Assess — We map your current workflows, identify bottlenecks, and architect AI solutions around how your team actually works.
Build — We develop custom tools in iterative sprints, showing you working demos every two weeks so nothing is a surprise.
Launch — We deploy, train your team, and provide ongoing support. Each tool is designed to get smarter over time as it processes more data.
What's Included in Phase 1
AI Client Assessment Tool
New clients complete a guided intake that uses AI to evaluate their IT infrastructure — devices, software, security posture, and network setup. The system generates a prioritized service plan automatically.
Smart Ticketing + KB System
A branded help desk that auto-categorizes tickets, suggests knowledge base solutions before escalating, and routes issues to the right technician based on skill and availability.
Client Health Dashboard
A real-time dashboard showing each client's IT health score, security status, upcoming renewals, and proactive recommendations. Shift from reactive break-fix to proactive managed services.
The Transformation
15+ Hours Saved Weekly
Reclaim time spent on manual onboarding, ticket triage, admin tasks, and report generation.
Faster Client Onboarding
AI-powered assessments replace multi-day discovery processes with a structured, same-day intake.
Zero Missed Tickets
Every support request is auto-categorized, prioritized, and routed. Nothing falls through the cracks.
Proactive, Not Reactive
Client health dashboards surface issues before they become emergencies. Your team reaches out first.
How We Work
Discovery & Architecture
We'll map OutfIT's current workflows across onboarding, support, and admin tasks. We'll interview your team, audit existing tools, and design the AI architecture around how you actually operate.
Build & Iterate
We build in two-week sprints with working demos at every checkpoint. You'll see real progress — not wireframes — and give feedback before we move forward.
Launch & Support
We deploy each tool, train your team, and provide ongoing support. Every system is designed to get smarter over time as it processes more of your data.
Process + Timeline
Weeks 1–2: Discovery + Architecture — We audit OutfIT's current workflows, interview the team, map integration points, and design the system architecture.
Weeks 3–4: AI Assessment + Ticketing Build — Build the client onboarding AI and smart ticketing system. You'll see working demos and test with real scenarios.
Weeks 5–6: Dashboard + Refinement — Build the client health dashboard, refine AI models based on your feedback, and integrate all tools.
Week 7: Launch + Training — Go live with Phase 1. We train your team on every tool and provide dedicated support through the transition.
Pricing
Phase 1: Core AI Tools
AI client assessment tool, smart ticketing with KB system, and client health dashboard. The foundation for scaling OutfIT's managed services without adding headcount.
Phase 2: Content Automation
Automated Compass blog pipeline — AI drafts, SEO-optimizes, and schedules content based on trending IT and AI topics. Stephen reviews and approves before publishing.
Phase 3: Workflow Engine
Custom workflow automation for employee onboarding, Google Workspace setup, security audit checklists, monthly reporting, and client offboarding. Eliminates hours of repetitive admin.
Assumptions and What We Need From OutfIT
For this project to succeed, we'll need:
Current workflow documentation — How you currently onboard clients, handle tickets, and manage recurring tasks. Doesn't need to be formal — a walkthrough works.
Tool access — API credentials or admin access to your current ticketing system, Google Workspace admin, and any monitoring tools you use.
Sample client data — Anonymized examples of client assessments, common ticket types, and typical onboarding checklists so we can train the AI accurately.
Stakeholder availability — Regular check-ins with Stephen or a team lead who can make decisions on workflow rules and approve each sprint.
Branding assets — Logo files, brand colors, and any design preferences for client-facing tools like the ticketing portal and dashboard.
